Support Coordinator / Administrator

Salary: £24000

Location: Chandlers Ford

Hours :Full time / Monday - Friday , 37.5 hours per week . Our client can be flexible on start times etc  

Duration: This position will begin temporary but to remain on a permanent basis

They have a track record of providing fantastic opportunities to candidates throughout the country and are seeking a Support Coordinator / Office Administrator with immediate effect

As a Support Coordinator you will be responsible for supporting multiple members of senior management with the coordination of Travel,booking of meetings, conferences and events, accommodation and hotel booking and supporting documentation.

You will be responsible for ensuring that  meetings and outlook calendars are organised with plenty of notice to all parties involved and diaries are managed well. 

You will also ensure all training paths and PDP’s for current technicians/employees have been created, adapted to be discipline-specific and filled out appropriately.
As a Support Coordinator / Administrator you will be responsible for the following:
  • Answering calls, taking messages and handling correspondence for senior management
  • Implementing new administration procedures and administrative systems for your role as required to ensure continuity in your absence
  • Organisation of team meetings;
    • Liaising with venues and meeting hosts, specifically in regard to team meetings
    • Coordinating hotel and travel arrangements when deemed necessary by the Service Director
  • Provide adhoc support on special projects as agreed with the Service Director and EA
  • Create To Do’s/Tasks in Asana for any tasks
  • Provide support to the Service Director and Service Managers
  • Ensure Audit and Assessment KPI’s are met by organising the occurrences and documenting the results.
  • Support with the Training Academy; organisation of meetings, and coordination of travel and hotels
  • Organising lunch for meetings as and when required
  • Support with any Service meetings and special projects as and when required by the Service Director, capturing actions and minutes etc
  • Ensuring that meeting rooms set up for booked meetings
  • Managing the meeting agenda’s
  • To manage multiple diaries
  • To complete all round administration
The ideal candidate will have / be
  • Strong administration skills and experience
  • Have previously supported multiple people with tasks
  • Be well organised and able to Multitask
  • Have strong communications skills
  • Be able to adapt to change quickly
  • Be capable of taking ownership of tasks and responsibilities
  • Will be available asap
  • Will be fully competent in using Microsoft Office
