Hours: Monday to Friday core working hours

Due to huge growth plans our client is looking to expand their Service department and are looking to recruit a Service coordinator

As a Service Coordinator you will be responsible for the following :
You will be responsible for providing a service to clients by scheduling engineers to complete the supplying/installing/removing/commissioning/de-commissioning/maintaining and repairing of a range of products.
You will support clients from the initial point of contact through to completion and this would include , providing quotations , managing the diary , scheduling , managing materials and part through to invoicing

Key Duties would include the following :
  • To assist clients with pre planned work as well as any emergency call outs
  • To manage customers expectations via email and on the telephone
  • To always deliver the highest level of customer service
  • To ensure that the Service Engineers are fully utilised with no unavoidable downtime
  • To respond to any customer complaints or problems in a sympathetic manner and expedite prompt resolution or escalation as appropriate
  • To ensure that all Planned Preventative Maintenance works are carried out in accordance with the required SLA agreements and to ensure that cancellations are kept to a minimum
  • To ensure that all customer quotations are generated and submitted in line with customer expectations
  • To proactively resolve any procurement issues with suppliers and/or escalate in due time to avoid impacting customer service levels
  • To sign off supplier invoices in a timely manner or as required by Finance
  • To ensure stock/ materials for the Service Engineers are well managed
  • To check and record Service Engineer time and tracker activity daily for payroll purposes
  • To liaise with other departments to manage pre planned work
  • To issue job sheets to the Service Engineers
  • To liaise with the Service Engineers to ensure all visit reports are completed correctly and returned within agreed deadlines
  • To contact customers at least 48 hours in advance of any planned visit by the Engineers to confirm attendance
  • To ensure that all completed works are invoiced to the customer at the correct values and without any delays
  • To support the Finance team in resolving aged debt and managing customers’ accounts
The ideal Service coordinator / Scheduler will have / be
  • GCSE pass level in English and Math’s
  • Competent in MS office suite
  • A good understanding of the importance of providing excellent customer services
  • Attention to detail
  • Strong work ethic – Positive ethical attitude and behaviour including reliability, willingness to take on responsibility
  • Time management
  • Have the ability to multitask
  • Customer focus – To put the customer at the heart of all that you do .
  • Problem solving
  • Adaptability – To readily adapt to changes in strategy, process, conditions, technologies, situations and working environment as and when required by Aqua
  • Previous experience of Coordination , coordinating , scheduling would be an advantage although isn’t essential
