Service Administrator, Service Coordinator

Hours of work: Monday to Friday: 37.5-hour week between the hours of 8am and 5pm
Location: Alton
Salary: £25-27K depending on experience

Dynamite recruitment is currently working in partnership with a very well-established service provider who is based in the Alton area.
Due to changes in the business our client is now looking to recruit a Service Administrator / Service Coordinator to join the business asap.
As a Service Administrator / Service Coordinator you will be responsible for the following tasks:
  • To assist the senior service coordinators and customer service manager in the day to day running of the service and maintenance department.
  • You will build a good rapport with clients, customers, and trades people via email, on the telephone and in person.
  • To build and maintain relationships with customers, working to continuously improve the level of service provided and to ensure that SLA agreements are met.
  • Ensuring the planned preventative maintenance procedures & schedules for each site are up to date.
  • To raise any discrepancies and raise awareness of amendments to the customer service manager.
  • To manage Incoming emails and to reply to them within 2 hours of receipt.
  • To liaise with subcontractors and specialists to complete maintenance and reactive works.
  • To monitor and produce quotation s and raise reactive requests for work to be completed.
  • Assist with the invoicing.
  • Consult with clients as required – telephone followed by email
  • Assist the senior service coordinators in the preparations of reports
  • Assist the senior service coordinators in the production of risk assessments.
  • Help arrange site access with clients for planned and reactive work.
  • To raise and issue all purchase orders as per job specification.
  • Assisting with the implementation of new contracts and supporting documents.
The ideal Service Administrator must have / be
  • A highly motivated, and collaborative individual with good interpersonal and communication skills.
  • Have good administration skills and experience
  • Will have good communication skills and experience
  • Will have good organisational skills and to be able to demonstrate that you can multitask
  • A background of the building services, facilities or maintenance industry would be advantageous although this isn’t essential.
