PA / Personal Assistant- Part time
 

Location: Petersfield

Duration: This position is temporary at least until December 2020

This position provides the opportunity to work remotely from home

Salary: £13.00 - £14.00 per hour

Hours of work: Flexibility  
  • 3 hours per day (Monday to Friday); this can be done remotely.
  • The ideal would be an hour in the morning, one around lunch time and one later in the afternoon
  • Or the 3 hours to be worked in the morning (one block) (with a start time from 8am up to 9.30am)
Start date: Immediate start

Dynamite is currently supporting a well-established organisation who is based in the Petersfield area

Due to a busy period our client is looking to recruit a Part Time PA / Personal Assistant to join the organisation immediately

As a  Part time PA you will be responsible for the following tasks :
  • Supporting senior management with  generalist PA duties
  • Coordinate complex scheduling and diary management
  • Professionally screen and manage phone calls, acting on senior management’s behalf where appropriate
  • Management of mail and correspondence; sort, organise and respond to on the their behalf as required
  • Liaise with senior management concerning priorities, deadlines, policies and procedures
  • Provide care for visitors as required, including refreshments
  • Ensure the maintenance of clear and effective filing, records and other systems and to keep them updated
  • Manage actions across three properties , providing helpful and timely reminders of to ensure success and cohesion between all parties
  • Update policies in liaison with relevant policy holders
  • Develop effective and efficient administration processes and procedures, utilising technology, embracing and actively implementing a culture of continuous improvement
  • Provide ad hoc administration duties as required
  • Prioritise daily requests of time
  • Be an active member of the staff body and be part of the community Meetings
  • Arrange weekly, termly, annual and other scheduled meetings
  • Assemble and prepare papers, agendas, reports and information for meetings, respond to all requests for information and ensure that management is prepared
  • Prepare agenda and take minutes at meetings as requested and cascade to all relevant parties in a timely manner
  • Ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales
  • Ensure that management has have relevant information prior to any meeting
Reports
  • Produce a wide range of detailed, complex or specialist documents to high standards of accuracy within tight timescales ensuring that the needs of the senior team are met
  • Undertake document and communication proof reading and checks as requested Other
  • Any other duties as reasonably required commensurate with the grade of the post Team
The ideal candidate will have / be
  • Will have previous experience as a PA, Personal Assistant , Secretary , EA – supporting at MD level
  • Excellent skills/ knowledge of Microsoft Suite (specifically Outlook, Mail and Scheduler)
  • Experience of dealing with customers professionally
  • Skills in using Mail Merge
  • Good diary management
  • If possible previous experience of Microsoft Power B.I
  • Will be available to start Immediately
  • Will be happy to commit to the duration of the contract
  • Will have a DBS or be happy to apply for one  should you need to go into the offices in the future
  • Will have strong organisational skills
  • Will be a strong communicator
