Contracts Administrator / Helpdesk Administrator
Location: Southampton
Salary: £17000

Hours of work: 8.00am to 5.30 Monday to Friday
Dynamite recruitment is currently working in partnership with a very successful engineering business who are based in Southampton
Due to growth our client is looking to recruit a Helpdesk Administrator to join the business
Your key responsibilities will include the following:

  • Answering incoming telephone calls professionally and promptly
  • Rising jobs to be completed and inputting all relevant data
  • Raising planned preventative maintenance, minor and reactive jobs using the internal system
  • Ensuring all quotes submitted are followed up within agreed time-frames
  • Assist with booking engineers in the diary for installations, services and reactive repairs, organising site visits in conjunction with the Corporate Administration Manager and ensure all necessary asset listings etc are provided to the relevant engineers one week in advance
  • Ensure all KPls are met at all times in connection with quotations, orders received, operations and financial/commercial activities. Where necessary/deviations are going to occur raise in advance to the Corporate Administration Manager and General Manager
  • Daily/weekly customer contact advising of planned/scheduled visits up and coming, works being undertaken on the day and together with successful completion report being issued (verbal/written)
  • Maintaining the status of all maintenance contracts for new and existing customers and ensuring renewals are sent out within agreed deadlines
  • Complete the electronic archiving of all hard copy client folders before the end of this financial year
  • Preparing reactive quotations for clients in good time
  • Attend meetings
  • Placing plant, materials and specialist sub-contractor orders in line with procedures, policies and processes
  • Develop good relationships with clients and representatives forming a key part of the account management team
  • Accounting
  • Keep invoicing schedules up to date for financial purposes with the administration team
  • Assist credit control with chasing and progressing late client payments
  • Engineers
  • Ensure the engineers have a clear understanding of their target time allowances for all site visits and monitor progress against budgeted allowances
  • Ensure that all engineers sign in and out daily
  • Organise engineers' weekly movements
  • Keep up-to-date the logs for all engineers
  • Check for accuracy and forward completed timesheets, overtime forms, expenses and engineering report sheets to Line Manager for weekly approval
